What Microsoft Outlook does

Microsoft Outlook is Microsoft's email and calendar platform. It handles mail, calendar, and contacts in one place, on the desktop, in a browser, and on a phone. Most agencies get it as part of Microsoft 365, so it is the system the whole business already lives in. Recruiters use it for candidate and client mail and interview invitations. It also holds every detail agreed in a thread and later needed again. Shared calendars and delegate access are standard. That is part of why it stays put when other tools get swapped out.

What changes in your day

A consultant sends a candidate a role brief from Outlook on the way into a meeting. Nothing else happens after that. The email is on the candidate's Atlas record. So is the reply, sitting in the same place as the notes and the CV. No bcc address to remember, and no thread forwarded to a CRM at the end of the day. The record fills itself while the desk gets on with the calls. That covers the client side of the same placement too.

Interviews get booked in whichever system happens to be open. A client suggests Thursday morning on the phone. The slot goes into Outlook, and it appears on the Atlas record too. Move it, and it moves in both. A recruiter checking the diary on their phone and an ops lead looking at Atlas see the same thing. That matters most on the mornings when half the diary moves. Client meetings behave the same way as interviews, so nothing needs re-entering to keep a shared diary honest.

Outreach goes out from the recruiter's own Outlook address. The address in the header is the one the candidate would reply to anyway. A passive candidate who half remembers a conversation from last year sees a name they know in the inbox. That is often the difference between a reply and silence. When the reply lands, it is tracked in Atlas against the same record as the rest of the thread. The consultant sees it in their pipeline rather than in a forwarded screenshot.

Resignations are the part of this nobody plans for. A consultant with four years of client relationships hands in their notice. The handover meeting covers a fraction of what they knew. Mail history is already logged against the records, so the conversations stay in Atlas when the mailbox is closed. Atlas Memory holds that history against the record. How to turn it on

Two things need to be in place on your side. Each recruiter who wants mail and calendar synced needs a Microsoft 365 or Outlook account. Someone needs admin rights in Atlas to authorize the connection. Whoever owns your Microsoft tenancy may need to approve it. Worth checking that before you promise the team a date.
